AI training for HVAC and plumbing office teams

Trades Smart trains CSRs, dispatchers, technicians and office managers at trade companies to use AI tools on their own daily work, in hands-on sessions with real tasks, so each person leaves with three or four things they will actually use on Monday.

Not a webinar, not a prompt course

We sit down with your team and use these tools on the work they were already going to do that afternoon: the awkward customer email, the job notes that need turning into something readable, the review that needs answering, the spreadsheet nobody wants to build. Their work, their systems, their words. Not examples from a slide deck.

The measure isn't whether the session went well. It's whether they're still doing it a month later without anyone asking.

What each role gets out of it

CSRs

Pulling up a customer's history before they pick up, handling the price question without guessing, and writing a callback that doesn't sound like a brush-off. A CSR who isn't dreading the hard calls books more of them.

Dispatchers

Getting the right tech to the right call, writing a recall note that explains what happened, and spotting the job that's about to go sideways before the customer does.

Technicians

Job notes that read like a professional wrote them, which is what makes an estimate believable three days later, and explaining what they found in terms a homeowner understands.

Office managers

The report nobody has time for, chasing receivables without being rude, and the job ad that's been on the list since spring.

Owners

Thinking a decision through at nine at night when there's nobody left to ask. It's the use most owners mention first.

Why do it now

The gap between a shop that uses these tools and one that doesn't will never show up on the P&L as a line called AI. It shows up as five office staff handling the volume that used to need seven, and a competitor who gets a quote out while your customer is still waiting. It's cheapest to close while it's still a training problem and not a hiring problem.

Common questions

What can HVAC and plumbing office staff use AI for?

Answering difficult customer emails, turning job notes into readable write-ups, replying to reviews, following up on quotes without sounding pushy, making sense of a mess of numbers, and writing job ads.

Is AI going to replace our CSRs?

No, and we'd argue against trying. The goal is CSRs who handle more calls well, with the overflow, after-hours and follow-up taken off their plate.

Can you just train us without building anything?

Yes. For some shops training is the whole engagement. It's cheaper than having us build things, and if the team is willing it often gets you most of the way.

Find out what's leaking.

One call, no pitch. We go through your booking rate, what's sitting unsold in your CRM and whether your pricebook is helping or hurting, and I'll tell you whether there's anything worth doing.
